Terms Applicable to All Bookings
These terms govern all travel services arranged by Atharva Travels including customised holidays, group tours, hotel bookings, transport arrangements, flight bookings and related travel assistance.

1. About Atharva Travels
Atharva Travels is a Gujarat-based travel agency registered under Udyam Registration No. UDYAM-GJ-01-054835, operating from Bodakdev, Ahmedabad, Gujarat, India.
We specialise in personalised travel planning — customised holidays, family tours, group departures, pilgrimage journeys, hotel bookings, flight assistance, train tickets, car and transfer arrangements, and complete travel coordination across India and international destinations.
Atharva Travels acts as a travel coordinator and agent, arranging services through third-party suppliers including hotels, airlines, transport operators and local service providers. By making a booking, you accept that certain services are governed by the individual terms and conditions of these suppliers.
2. Bookings & Confirmations
- All bookings are subject to availability at the time of confirmation.
- A booking is confirmed only after receipt of the required advance payment and written confirmation from Atharva Travels.
- Hotel vouchers, transport details and travel coordination documents are shared after booking confirmation and applicable payments are received.
- All names on the booking must match the traveller's valid government-issued identification exactly.
- Itineraries are prepared based on your stated requirements and may be customised based on destination availability and operational conditions.
- Atharva Travels reserves the right to suggest alternative arrangements of equivalent standard if a confirmed supplier becomes unavailable due to circumstances beyond our control.
3. Payments & Pricing
- A partial advance payment — typically 25 to 30 percent of the total trip cost — is required to initiate hotel and transport bookings. The exact advance amount is communicated at the time of itinerary confirmation.
- The remaining balance is due at least 7 days before the departure date, unless stated otherwise in your booking terms.
- Current accepted payment methods are: bank transfer (NEFT / RTGS / IMPS), UPI and cheque. A receipt or acknowledgement is issued for every payment received.
- GST invoices are issued as applicable for all confirmed services.
- Quoted prices are in Indian Rupees (₹) and are based on availability and costs at the time of quotation. Prices may vary due to changes in hotel rates, transport costs, fuel surcharges or seasonal demand — any revision is communicated before confirmation.
- Full payment must be received before travel documents, tickets and vouchers are issued.
- Atharva Travels does not store any personal banking or financial credentials. We will never request passwords, card numbers or OTPs through any channel.
4. Cancellation & Refund Policy
For full details please refer to our Refunds & Cancellation Policy. The following applies as standard:
- 45 or more days before departure: Cancellation charges are minimal — primarily third-party supplier deductions. The booking advance may be partially refundable subject to supplier confirmation.
- 30 to 44 days before departure: Moderate cancellation charges apply. Refundable amount depends on supplier policies and advance bookings already made.
- Under 30 days before departure: Higher cancellation charges apply. Certain bookings may be non-refundable depending on hotel, airline and transport policies.
- The booking advance deposit is non-refundable if cancellation is made within 30 days of departure.
- Non-refundable bookings, advance-purchase airline tickets and confirmed permits are not eligible for refund regardless of cancellation date.
- All cancellation requests must be communicated in writing — by email to kunal@atharvatravels.co.in or via confirmed WhatsApp communication.
- Refunds, where applicable, are processed to the original payment method within 7 to 14 working days of supplier confirmation. Delays caused by bank processing are outside Atharva Travels' control.
- Airline, hotel and transport cancellation charges are governed by the respective supplier's policy and are passed on as applicable.
5. Travel Responsibility
- Travellers are solely responsible for carrying valid identification, travel documents, permits and any health-related documentation required for the journey.
- Atharva Travels is not responsible for denied boarding, entry refusal, immigration delays or issues arising from incomplete, incorrect or expired documentation.
- Travellers are requested to follow hotel policies, transport guidelines and local regulations at all destinations.
- Atharva Travels is not responsible for personal behaviour, individual expenses, personal losses or incidents arising from a traveller's own actions during travel.
- Delays caused by weather, traffic, road conditions, natural events, strikes or government restrictions are beyond our operational control.
6. Hotels, Transport & Sightseeing
- Hotel check-in and check-out timings are governed by the respective hotel's policy. Standard check-in is typically 2:00 PM and check-out by 11:00 AM unless arranged otherwise.
- Vehicle usage is subject to route conditions, driver duty hours and operational feasibility. Additional usage beyond the agreed scope may attract supplementary charges.
- Sightseeing schedules may change due to local conditions, weather, seasonal closures or government restrictions. Alternative arrangements of equivalent value will be offered where possible.
- Meal arrangements at hotels are as per the package inclusions. Any additional meals, beverages or room service are the traveller's personal expense.
- Specific room types, floor preferences or hotel-specific requests are communicated but cannot be guaranteed — these are subject to hotel availability at check-in.
7. Travel Documents
- For domestic travel, a valid government-issued photo ID (Aadhaar, PAN card, passport or driving licence) is required for all travellers.
- For international travel, a valid passport with a minimum of 6 months validity beyond the travel date is required, along with applicable visas.
- Atharva Travels provides guidance and documentation assistance for visa applications but cannot guarantee visa approval. Visa fees are non-refundable regardless of the outcome.
- Travellers are advised to carry physical or digital copies of all booking confirmations, hotel vouchers and travel documents during the journey.
8. International Travel
- International travel is subject to the laws, entry requirements and visa regulations of the destination country. Requirements can change without notice — travellers are advised to verify current requirements before departure.
- Atharva Travels recommends purchasing comprehensive international travel insurance covering trip cancellation, medical emergencies and travel disruptions. Insurance can be arranged as part of the package or separately.
- Currency exchange, international roaming charges and overseas personal expenses are the traveller's responsibility.
- Atharva Travels is not liable for visa rejections, entry refusals or changes in destination country regulations.
9. Force Majeure
Atharva Travels shall not be held responsible for cancellations, delays or service interruptions caused by circumstances beyond our reasonable control including — but not limited to — natural disasters, floods, earthquakes, pandemics, strikes, political disturbances, road closures, transport disruptions, weather conditions, government orders or any other force majeure event.
In such situations, Atharva Travels will make every reasonable effort to assist travellers in rescheduling or recovering costs from suppliers, but cannot guarantee supplier refunds or compliance. Outcomes in such cases are subject to individual supplier policies and applicable laws.
10. Communication & Support
- Atharva Travels communicates via WhatsApp, phone and email for booking coordination, confirmations and travel assistance.
- Travellers are responsible for verifying all travel details, reporting timings and booking confirmations before departure.
- Any concerns or issues during active travel must be communicated to Atharva Travels promptly so that coordination assistance can be provided.
- Atharva Travels' office hours are Monday to Saturday, 9:30 AM to 6:30 PM. WhatsApp support is available for emergencies outside office hours.
11. Liability
Atharva Travels acts as a travel coordinator and intermediary between travellers and third-party service providers (hotels, airlines, transport operators, local agents). We are not the direct provider of these services and accordingly our liability is limited.
- Atharva Travels is not liable for acts, omissions, negligence or defaults of any third-party supplier.
- Where Atharva Travels is found liable, our maximum liability is limited to the value of the affected service component, to the extent permitted by applicable law.
- We are not liable for loss of personal belongings, medical expenses, accidents or personal injury during travel.
- Atharva Travels is a registered MSME travel agency (Udyam No. UDYAM-GJ-01-054835) and operates in compliance with applicable Indian laws and regulations.
12. Privacy & Data
Atharva Travels collects personal information (names, contact details, travel preferences and identification details) solely for the purpose of arranging and fulfilling travel bookings. Your data is not sold or shared with third parties beyond the suppliers necessary to complete your booking.
By making a booking, you consent to necessary data sharing with hotels, transport providers, airlines and other relevant service suppliers. For full details please refer to our Privacy Policy.
13. Governing Law & Disputes
These Terms and Conditions are governed by the laws of the Republic of India. Any disputes, claims or legal proceedings arising from or related to bookings made with Atharva Travels shall be subject to the exclusive jurisdiction of the courts in Ahmedabad, Gujarat, India.
In the event of any dispute, both parties agree to first attempt resolution through direct communication before initiating legal proceedings.

Atharva Travels reserves the right to update these terms at any time — the current version will always be available on this page. Continued use of our services after any update constitutes acceptance of the revised terms.
